Paratus AMC Bring Document Management Back In-House and Transform their Business Process Management with Hitec’s DataStore

Paratus AMC Limited, a financial asset management company specialising in the management of non-performing loans selected Hitec’s DataStore with the objective of increasing efficiency and bringing key business systems in-house.

Paratus had an overwhelming legacy of 16 million customer documents plus as well as documents being created on a daily basis, the centralised Document Management solution needed to not only archive and centralise documents but also ensure that they were indexed and searchable, plus, automate their route through the company for action and approval at each stage of the loan lifecycle - all within a 3 month project timeline.

Throughout the project Hitec worked closely with Paratus to devise a tailored solution which met all of their short-term, time critical objectives as well as ensuring flexibility when preparing for the wider future requirements and international roll-out.

A sophisticated workflow was developed for both inbound and outbound documents routing them using predefined rules and workflow through the entire lifecycle.

Seamless integration with the Paratus internal asset management system (FAMS) gives operators instant access to client documentation without changing applications, or remembering new passwords. And integration with in-house letter generation systems makes the 25,000 outbound letters per month straightforward to manage.

Following the success of this project a new project has started to integrate call centre voice recordings into the central system. This will give operators a total single view of all customer interactions from letter to email to voice all in the same place, in the same view, in the correct order so that they are searchable.

Paratas are also planning to roll-out full solution in Germany and Spain and are scoping a project for several other back-office departments to handle resource intensive processes in order processing, expense handling, invoice processing and more.
